Strategy & Planning

In this phase, first and foremost, the business case for the ECM implementation is identified. This determines the business value that this implementation will add to the corporation. Identifying the scope of the implementation is another key to this phase.  What legacy information will be migrated, the geographic location of this information, their information classes etc. are determined. This is strategic to avoiding scope creep at any further stage of the project. A high level project plan with the different project phases, activities and deliverables of each phase is key to planning this initiative.

Information Assessment/ Rationalization

The key objective of this phase is to assess the information that is in scope of this initiative. Who are the business owners that will be accountable for this information? What kind of security controls need to be in place, so the right information is available to right people? What is the lifecycle of content, and how long does it need to be retained within the system? Can the information be rationalized, by eliminating duplicates and streamlining information flow?

Requirements Gathering

By speaking to various stakeholders and members of the end user community, a consensus is arrived concerning business and system requirements. If the target system introduces new tools and business processes, training requirements will also be identified. Ensuring that we have complete requirements and a process in place for change management, will be key for timely and on-budget delivery of the CMS solution.

Architecture & Design

The target system architecture and the design of the various components are produced during this phase. Migration strategy, performance standards, deployment approach, system in Operations, all these various facets will be detailed out during this phase. Any new tools and business processes will also be identified.

Implementation & Deployment

During this phase, information is migrated to the target system, from one or more of the legacy sources. The new system is configured with user roles and other features as per system requirements. After rigorous quality assurance of the system, it is deployed to one or more locations, per the production rollout schedule.

Training and Support

This final and ongoing, but essential phase of the project ensures that business and technical users are sufficiently trained to use and support the system.
